Overview.

Every Microsoft CRM implementation consists of 2 components – (1) server software and (2) user licenses.

Server software
There are 2 types of server software licenses – (1) Sales Server which is required if Sales users are present, and (2) Service Server which is required if Service users are present. If both types of users will be supported (or if there are Suite users – individual users that require both Sales and Service functionalities), then both Sales Server and Service Server are required. Each server is priced at $995, or $1990 for both.

User licenses
Microsoft CRM comes in 2 editions– Standard and Professional, and there are 3 types of users in Microsoft CRM – Sales users, Service users and Suite users (a Suite user has all the functionalities of both Sales users and Service users). The following charts summarize the functionalities in Standard and Professional editions of Sales and Service clients:

Standard edition users (either Sales or Service) are priced at $395 each. Standard edition Suite users (with access to functionalities in both Standard Sales and Standard Service) are priced at $695 each.

Professional edition users (either Sales or Service) are priced at $795 each. Professional edition Suite users (with access to functionalities in both Professional Sales and Professional Service) are priced at $1295 each.

The various scenarios are illustrated in the following charts:
You cannot mix Standard and Professional users of the same type (cannot mix Standard Sales users with Professional Sales users, cannot mix Standard Service users with Professional Service users).

Pricing Examples.

While every Microsoft CRM implementation will be different, the following scenarios will help companies estimate the overall and monthly cost of a typical deployment. We strongly recommend that initial projects include basic out-of-the-box functionality with little, if any, customization, configuration, data import, etc. Most companies experience 90% of the benefit of their CRM system from the basic installation. Later, when users have widely adopted the system, additional customized features can be evaluated, justified and implemented.

Three scenarios are presented below, (1) a 10-user system, (2) a 50-user system, and (3) a 100-user system, each with Professional Edition users (either Sales or Service).

Scenario #1 (10-user system)
Servers and foundation software $10,000
Microsoft CRM software & support $10,000
Service (installation, implementation) $10,000
Training $ 5,000

Total Cost of Ownership $35,000

Monthly Cost* $760/month
$76/user per month

* Microsoft Total Solution Financing, 5-year lease, 11% interest (your rate may vary, subject to Microsoft Capital approval).
Scenario #2 (50-user system)
Servers and foundation software $15,000
Microsoft CRM software & support $50,000
Service (installation, implementation) $20,000
Training $15,000

Total Cost of Ownership $100,000

Monthly Cost* $2200/month
$44/user per month

* Microsoft Total Solution Financing, 5-year lease, 11% interest (your rate may vary, subject to Microsoft Capital approval).
Scenario #3 (100-user system)
Servers and foundation software $ 25,000
Microsoft CRM software & support $100,000
Service (installation, implementation) $ 30,000
Training $ 20,000

Total Cost of Ownership $175,000

Monthly Cost* $3800/month
$38/user per month

* Microsoft Total Solution Financing, 5-year lease, 11% interest (your rate may vary, subject to Microsoft Capital approval).
Compare these monthly per-user costs to typical online services that often begin at $65/user per month or more. While the monthly subscription fees for these services continue forever, you will own your Microsoft CRM system after 5 years and only incur ongoing support and enhancement costs. Plus, you’ll own the .NET technology infrastructure upon which to build your long-term IT strategy.
